Privacy Policy
Last updated: 12 October 2026 · Version 2026-10-12
AceVoz is a tool for independent language teachers and their students. This policy explains what we collect, why, who we send it to, and what you can ask us to do about it. It is written to be read rather than to be defensible.
Who we are
AceVoz is operated by Webucator Holdings, Inc., 175 Brookside Lane, Fayetteville, NY 13066, USA. Contact: support@acevoz.com.
Webucator Holdings, Inc. is the data controller for the personal data described here. For anything in this policy, including any of the requests below, write to the address above.
Where your data is stored
AceVoz runs in Frankfurt, Germany, and that is where the database and uploaded files live. Some of the services we rely on process data outside the EU — they are listed below, with what each one gets.
What we collect
Your account
A username, an email address, and a password (stored hashed — we cannot read it). Optionally a profile picture, the languages you speak or teach, and your time zone, which we use to show lesson times correctly.
If you sign in with Google, we receive your name, email address and profile picture from Google to create the account. We do not receive your Google password.
Teaching and learning
Lessons and their times, notes a teacher writes on a lesson, assignments and their due dates, exam dates, vocabulary lists, and the results of practice activities. A teacher can see this for their own students; a student can see their own.
Spoken practice
Some activities involve speaking. When you use one:
- Your voice goes from your browser directly to Google's AI service while you talk. It does not pass through us.
- We save what was said as text.
- We do not save the audio. Nowhere, at no point.
- Your teacher can read the transcript.
- You can stop a session at any time.
You are asked to agree to exactly this before your first spoken activity, and we record when you agreed and to which version of the wording. If the wording changes, we ask again.
Messages you send us
If you use a contact form, we keep what you wrote and how to reply to it.
Google Calendar
Connecting Google Calendar is optional and off until you turn
it on. When you connect it, AceVoz asks for one narrow
permission — calendar.app.created
— which lets an app work only with calendars it made itself.
That means, concretely:
- We create a new, separate calendar in your Google account — "AceVoz Teaching" if you teach, "AceVoz Learning" if you study, or both.
- We write your own lessons, exam dates and assignment due dates onto it.
- We cannot read your other calendars. Not "do not" — the permission we hold does not allow it.
- We never share your calendar data with anyone, and never use it for advertising or to train any AI model.
- Disconnecting stops the syncing and leaves the calendar and its events in your account. It is yours; we do not reach into your account on the way out. You can delete it yourself at any time.
AceVoz's use of information received from Google APIs follows the Google API Services User Data Policy, including its Limited Use requirements.
Who else sees your data
We do not sell personal data and we do not share it for advertising. We use these services to run AceVoz:
| Service | What it gets | Where |
|---|---|---|
| Render | Hosting: the database and uploaded files | Frankfurt, Germany |
| Sign-in; calendar events you choose to sync; speech during a spoken activity; text sent to its AI models for generating and marking exercises | United States | |
| Amazon Web Services (Amazon SES) | Your email address, to send account and notification email | United States |
Transfers outside the EU rely on the European Commission's Standard Contractual Clauses or an adequacy decision, as applicable to each provider.
Why we are allowed to hold it
- To provide what you asked for (performance of a contract): your account, your lessons, your assignments, your results.
- Your consent: spoken activities, and connecting Google Calendar. Both are optional and you can withdraw either — stop using spoken activities, or click Disconnect.
- Our legitimate interests: keeping the service working and secure, and answering messages you send us.
How long we keep it
Your account data, lessons, assignments and transcripts are kept until you or your teacher delete them, or until the account is deleted. There is no automatic expiry — we would rather you decide than have work disappear from under you. To have your account and its data deleted, write to support@acevoz.com and we will do it, including the transcripts of your spoken practice.
Your rights
If you are in the EU or UK, you can ask us to give you a copy of your data, correct it, delete it, hand it over in a portable format, or stop a particular use of it. Write to support@acevoz.com and we will answer within one month.
If you think we have got it wrong, you can complain to your country's data protection authority. You do not have to go through us first.
Children
Language students are sometimes children. A teacher who invites a student is responsible for having the permission they need from that student's parent or guardian before the student uses AceVoz, and in particular before they use any activity that involves speaking.
Changes
If we change this policy we update the date and version at the top. If a change affects spoken activities, you will be asked to agree to the new wording before your next session rather than being told after the fact.
